What is VDS
VDS (Vessel Display System) is an application dedicated to the paperless management of the kitchen and meal preparation. It receives orders from your DP storefront, mobile app, or POS at the vessel. As the kitchen staff prepares the food, they mark orders as cooked/prepared to notify the front desk staff, couriers, and customers, about the status of their meal preparation. This status can be sent to your Customer Display System, as notification to the customer, or to the POS. This ensures all relevant parties know exactly when the food is ready to be handed over.
Loggin in to the VDS
You need to log in to operate the application.
Login details will be provided to you by your onboarding assistant or manager. This ensures the VDS is connected to the correct account, storefronts, and menus.
VDS user interface
After you log in, you will see the main Kitchen screen where the food preparation takes place. Depending on the settings, you can see the following:
- Top actions bar
- burger icon to access the main menu
- toggle to switch between new orders and ready for pickup screen
- emergency pausing button - pause your storefronts if any issues arise and kitchen can not produce food
- DP storefronts status indicator - see how many storefronts are live and operating
- An order ticket
- may contain Order preparation and Order picked up buttons to speed up the preparation process
- individual items are listed under the respective brand names
- an item may contain specific ingredients or modifiers
- you can use the three-dot menu of an item to open its options. Alternatively, you can tap and hold the item to open it. You can print receipts and labels from here, among others
- order type and daily ID number are indicated at the top
- Types of orders
- a number of active delivery, collection, and store orders
- you can turn the display of a particular order type on/off simply by tapping the order type
Filtering displayed orders
In addition to turning the display of a particular order type on/off, you can set brand filters to display orders for a single brand only. This can be useful in cases where, for example, different parts of the kitchen prepare single brand's food only.
Brand filter can be turned on in the application's settings:
- Navigate to the Settings using the main menu.
- Search for the Brand filter setting using the search filed
- Open it and select brands you want to show the orders
VDS view types
The application offers numerous view types to accommodate your needs and business configuration. You can choose between columns, grid, or vertical list views, customize the number of columns and rows, and add additional panels to support the kitchen production.
- Navigate to the application's Settings, go to Customization/Design/View types and select your preferred view.
- Some view types offer additional customization once selected - proceed with the customization if needed.
Additional panels for the kitchen screen
Every view type offers an option to add extra data panel to the Kitchen preparation screen to assist your staff in food preparation. Following panels are at your disposal:
- Quick collect - helps the kitchen staff in handing the food over to the couriers
- Food summary - gives clear overview of the number of each type of meals needed to be prepared and their status.
Printing receipts and labels
If you need kitchen receipt or label, you can review and print those directly from the VDS.
- Use the three-dot menu or tap and hold the item to open the options menu
- Choose your option
To preview or print a receipt or label, a relevant printer must be configured first. The procedure is outlined in the VDS printer setup & label design guide.
Pausing the kitchen
This feature is subject to availability and must be enabled in the account settings. If you do not see the pausing button and want to use the feature, contact our support.
To pause the kitchen and stop orders from coming in from your storefronts, do the following:
- Click the Emergency Pause button
- Select the reasons you need to pause the kitchen
- Submit
Pause reasons are custom and configured using the REEF OS Dashboard. Currently, these are added to the system by our support. You can provide your custom reasons and they will add it for you.
Stock management
The Stock management feature is not available by default. If you need to manage your stock and do not see the Stock Management section in the main menu, please contact our support.
To manage your stock and set items as in/out of stock, do the following:
- Navigate to the Stock management section using the main menu
- Scroll down through items or use search field to find items
- Select your items you want to change the status for
- If you run out of an ingredient included in multiple items, you can use the bulk selection at the bottom left to select all items containing the keyword
- Click the Options button and select the option (put items in or out of stock)
- Submit
Useful VDS application settings
Following is the list of useful settings you might want to know about:
- Auto-prepare food in the kitchen - when enabled, food in the kitchen will automatically be marked as prepared without the need for manual interaction of the staff. The status changes to prepared after a set time that is configured in the account settings.
- Delay couriers - when enabled, the kitchen staff will have the option to delay the deliveries by adjusting the pickup times.
- Show customer name in grid view - when the grid view is in use and this feature is enabled, the customer's name will be shown below the deadline time for each order.
- Print allergens or paid status on labels - this feature will enable allergens or paid status to be printed on the labels.
- Revert, reset, or cancel orders - each of these enables the respective feature.
- Prepare order & Finish order buttons - first allows the kitchen operator to mark all foods in the order as prepared at once (no need to tap them one by one), and the Finish order button allows the operator to finish the order directly from the kitchen.
- Ready for pickup toggle - enables the toggle to switch between the New orders and Ready to pick up orders.
- Navigation arrows - activates navigation arrows to navigate between pages of orders.
- Brands filter - choose which brand orders should show in the VDS.
- New order notification - get notified visually and by sound when a new order arrives.
- AI voice notifications - activates a voice button. Your unprepared items will be red by the application. Can be activated by voice to make it hands-free.
- Network indicator - adds an internet connection status icon to the kitchen screen.
